Answers to common questions from our clients.

1. How do I upload records, and what file types work?

Log in at med-docket.com, click "Upload New Case," name the case, and select your file. PDFs are the supported format — scanned, faxed, or digital originals all work. Files upload directly to secure storage; nothing is emailed.

2. What makes a PDF fail, and what do I do if one does?

The usual causes are password protection, a corrupted file, or a scan so degraded that no text can be read from it. If a case fails, the dashboard shows it as FAILED with the reason — remove the password or re-export the PDF and upload it again. If it fails twice, email us and we'll look at it within one business day.

3. Can I upload multiple files for one case?

Yes — upload each PDF under the same case and they are processed into a single chronology. Records from different providers on the same date stay as separate entries with the correct provider on each. If a file was missed, upload it and the chronology is rebuilt to include it.

4. How long until the chronology is ready, and how will I know?

Within 24 hours of upload — most cases finish much faster. You'll get an email the moment it's ready, and the case status in your dashboard changes to complete. No need to refresh or check back.

5. What do the confidence flags and record quality notes mean?

They mark the places the system wasn't certain — an unreadable value, a gap in the source records, or a note that references visits the records don't contain. The tool surfaces these for your team to verify against the originals instead of silently guessing. Treat them as a checklist, the same way you'd flag a suspicious page with a sticky note.

6. What does a treatment-gap flag mean and why does it matter?

It marks any stretch of roughly 30 days or more between visits in the treatment timeline. Adjusters and defense counsel use gaps to argue the injury resolved, so knowing about a gap on day one — instead of in a deposition — lets the attorney address it in the demand. The flag states the dates so you can check the reason in the source records.

7. How do I edit an entry or mark the chronology reviewed?

Every entry has an Edit button — changes save with a record of who made them and when. When your review is done, enter your name in the Review panel and click Reviewed; the case is then stamped as reviewed by you with the date. You can also flag an issue on the case for anything that needs a second look.

8. How do I verify a line against the source records?

Every entry shows a source page number (for example, "Source: p.4"). Open your original PDF beside the chronology and go to that page — the entry's content is there. There is no click-to-open viewer today; verification is you reading your own document at the cited page, which means you never have to take the system's word for anything.

9. How do I add another user from our firm?

Email us the person's name and work email and we set up their login — usually the same business day, always within one. There is no self-serve "add user" button today; accounts are created by us deliberately, as part of keeping each firm's access controlled.

10. What counts as a case toward the monthly cap, and what happens if we go over?

One case = one matter's records processed, regardless of how many PDFs it takes. Founding firms have 30 cases per month; the standard plan has 20 — unused cases don't roll over. If you hit the cap, uploads pause and we contact you about options; nothing extra is ever charged without your agreement.

11. How is our data protected, and what happens to it if we leave?

Records are encrypted in transit and at rest, each firm's data is fully isolated from every other firm's, and a BAA is signed before a single page is uploaded. The AI processing runs on AWS infrastructure covered by a signed AWS Business Associate Addendum — records never leave that environment. If you leave, records are deleted within 30 days of your request (backups within 60), and we provide written certification of deletion.

12. How do I reach you, and when will I hear back?

Reply to any email from us, or write to support@med-docket.com. Every message is answered within one business day, and anything blocking an active case gets priority. If something is urgent, say so in the subject line and it goes to the top.
